Guidelines for Presenters
On-site and Live-streaming
October 24-26, 2024
Please note that live streaming will be available for all sessions except for Workshops 2 & 8, Hands-on Seminars, Lunch Seminars, General Presentations, and the Examination Preparation Lecture.
On-Demand Streaming
On-demand streaming is scheduled to be available two weeks after the conference concludes. We will send out a separate notification to all participants. Please note that on-demand streaming will only be available for sessions that have obtained permission to be recorded during the live stream. Therefore, some presentations may not be available for on-demand viewing.
*Technical workshops will not be available for on-demand streaming.
For Oral Presenters
1 Presentation Format
- All oral presentations must be done using PC presentations (single screen projection). Please prepare your presentation time in accordance with the guidance from the secretariat.
- The PCs provided at the venue is Windows 10.
- Your presentation data must be saved on a USB memory device compatible with Windows.
Please name the file as "Presentation Number - Presenter Name" (e.g., SY01-1-Taro Yamada).
To prevent copy errors, please confirm that the data works correctly on a PC other than the one you created it on after saving it to the media. - We have prepared Windows version Microsoft 365 applications. If you created your presentation data using Macintosh version PowerPoint, please be sure to bring data that has been confirmed to work on a Windows PC. Alternatively, please be sure to bring your own laptop.
- Please use the fonts that are standard on the OS, such as “MS Gothic”, “MSP Gothic”, “MS Mincho”, “MSP Mincho”, "Meiryo," "Yu Gothic", "Times New Roman", "Century", "Century Gothic", or "Arial Black", to avoid screen layout corruption.
- While a slide size of 16:9 is recommended, 4:3 is also supported.
- If your presentation data is linked to external data such as videos, please bring your own laptop. Even if you bring your own PC, please bring a USB memory as a backup.
- Please perform a virus check in advance.
- We will copy your presentation data to the computers in the venue, but Secretariat will delete it responsibly at the end of the conference.
2 If You Are Bringing Your Own Laptop
- Your laptop must have an HDMI output port. If it does not, please be sure to bring the separate conversion connector.
- If your presentation includes audio, inform the staff at the PC reception desk in advance.
- Please disable the screensaver and power saving settings beforehand. If you are bringing a Machintosh, please disable the hot corner settings.
- Please be sure to bring your AC adapter.
- We recommend that you bring your data on a USB memory as a backup in case you cannot connect to the projector provided at the venue.
- Please refrain from using presenter tools as it takes time to set up.
3 Submission of presentation data and presentation procedure
- Please perform a test projection and operation check at the PC reception desk at least one hour before your presentation session. If you are presenting on the 2nd or 3rd day of the conference, you can also check in the day before your presentation. Even if you bring your own laptop, please have it checked at the PC reception desk and bring it to the PC operator desk at the front of the presentation venue yourself.

- Please arrive at the presentation venue 15 minutes before your presentation and take a seat in the next presenter's seat on the front left side of the venue after the previous presenter has taken the stage.
- During your presentation, please look at the monitor set for your presentation (the same slide as the screen will be displayed) and proceed by operating the keyboard and mouse yourself. The use of presenter tools is not allowed.
- Please take your own laptop from the PC operator desk after your presentation.
4 General Oral Presentations
- Each presentation is 8 minutes (5 minutes presentation, 3 minutes Q&A).
- General oral presentations will not be live-streamed.
Poster Presentations
1 To Presenters
- The schedule for poster setup, presentation, and removal is as follows. Please follow the instructions of the session chair when presenting.

- The poster panel size is approximately 210 cm tall by 90 cm wide. Only the poster number at the upper left side will be provided by the conference. Presenters are responsible for preparing the title, name(s), and affiliation(s) in a 20 cm x 70 cm space in a horizontal format.
- Microphones will not be available for the presentation.
- Presenters are responsible for removing their own posters. If you are unable to attend until the final day, you may take down your poster prior to the removal period. Posters left behind after the removal time will be taken down by the conference secretariat.
Award Ceremony for Outstanding Presentations
Oral and Poster
We will hold an award ceremony in two parts to recognize outstanding presentations.
Part 1: Award Ceremony during the Social Gathering (for Poster and Oral presentations on Day 1, and the morning Oral presentations of Day 2)

Part 2: Award Ceremony during the Closing Ceremony (for Poster and Oral presentations on the afternoon session of Day 2, and Day 3)

Venue: Second Venue (1st Floor, Special Meeting Room, Sapporo Convention Center)
A list of award-winning presentations will be posted in advance on the day of the ceremony. Please pay attention.
Important Notes Regarding Presentations
1 Handling of Personal Information
Please ensure the protection of personal information. Avoid including specific dates and use generic terms such as "Hospital A" instead of proper names to prevent the identification of individuals.
2 Disclosure of Conflict of Interest (COI)
To ensure neutrality and transparency in the presentation of clinical research results conducted through industry-academia collaboration, all presenters are required to disclose any "Conflict of Interest (COI)."

Poster presentation: non-existence of any conflict; The following conflict of interest statement will be included at the bottom of the poster. There are no companies with COI that should be disclosed by the presenters in relation to the presentation of this abstract.

Information for Participants
For this conference, we kindly request that all participants register online in advance or on the day of the event. Please note that there will be no registration available at the venue on the day of the event, so be sure to complete your registration on the conference website beforehand.

Technical Workshops
- Regular: ¥14,000
- Medical Staff: ¥14,000
- SStudents: ¥5,000
Medical staff includes clinical laboratory technologists, clinical engineers, nurses, and other co-medical staff. Physicians fall under general participants.
Registration fees are non-refundable under any circumstances.
The fee is the same for both members and non-members.
Medical staff attending the technical workshops are eligible to attend the conference lectures without an additional fee. However, those needing accreditation renewal units must pay the conference participation fee.
2.Name Tags
On-site attendees should download and print their name tags from their personal page on the web viewing site and bring them to the venue. Name tags must be worn at all times during the event.
Conference participants will have their names printed on conference name tags, and technical workshop participants will have separate workshop name tags.
3.Receipts and Certificates of Participation
Receipts and certificates of participation can be downloaded from your personal page on the web viewing site. Please note that these are only available for a limited time:
- Receipts: Early October – one month after the event
- Certificates of Participation: From the first day of the conference (October 24) to one month after the event

5.Program and Abstracts
Due to the digitalization of conference journals, the "Program and Abstracts" issue will not be distributed in printed format. You may download it from J-stage or the conference website. A limited number of printed programs will be available at the venue; please take only one copy per person, as supplies are limited.

Important Notices
- Recording, photography, and video filming of sessions, except for your own presentation, are prohibited inside the venue.
- Please ensure that mobile phones are either turned off or set to silent mode inside the venue.
- Recording, videotaping, screen capturing, or any other form of reproduction of the content presented at the on-site venue or during live or on-demand streaming is strictly prohibited. Any unauthorized distribution, publication, or alteration of such recordings is also forbidden.
