Conditions

  • A member of Japanese Association of Occupational Therapists (JAOT) is required to complete the payment of JAOT membership fee for 2024 (Payment forms will be sent to you in due course after March 2024).
    ※It takes up to two weeks for the payment to be reflected in the system. Please make sure to pay the JAOT membership fee for 2024 (including the new members application) at least two weeks prior to registration. (Please note that due to system reasons, registration cannot be made immediately after payment)
  • Please complete all the payment within the early bird registration period above.
  • For registration after the deadline, please register at the on-site registration desk on the day of the congress.
  • If your abstract is accepted, the first author (presenter) must pay Full-Day (= Four days) registration fee by the end of July, 2024.
  • Speakers (the representative, speaker, and collaborators (staff) ) of Precongress-Workshop must pay Full-Day registration fee during early bird registration period.

Full-day registration fee includes the following items:

  • All scientific programs of APOTC 2024
  • Lunch Tickets for November 6th, 7th, and 8th.
  • Welcome party
  • Accompanying Person: admission to the exhibition and poster hall (without lunch tickets)
    *Application will open later.
  • On-site participation for the 58th Japanese Occupational Therapy Congress & Expo

  • Precongress workshop

Payment

  • Fees must be paid in Japanese Yen
  • Payment must be made via online portal (in preparation). The only accepted means of payment is by CREDIT CARD (Visa, MasterCard, JCB, American Express, Diners Club).
  • Once the registration fee has been paid, it is non-refundable.
  • The receipt will be available on the online portal from January, 2024. If you need your receipt in December 2023, please contact to the secretariat (reg-apotc2024@c-linkage.co.jp).

*1 Full-day congress participants (6-9th Nov) are able to participate in Japanese Occupational Therapy Congress & Expo (58th JOTC in Hokkaido) with no additional fee. However, if you wish to make a presentation at JOTC, you need to pay the registration fee for JOTC.
*2 To qualify for the low and middle income economies rate, you must receive your main income from a country that is not classified as "high income" according to the World Bank classification

*3 The registration fee in USD (1 USD ≓ 140.25 JPY) based on the reference rate on 5th June, 2023. Please note that the registration fee should be paid in Japanese Yen (JPY).

Non - JAOT members

Those who have Japanese occupational therapy license, membership procedures cannot be completed at the venue on the day of the congress. If you wish to attend the congress, please complete the membership application procedures first and then register for the congress.

Other professions

Other professions are welcome to participate. Please pay registration fee (One-day: ¥20,000) at on-site registration desk.

NOTE

  • If you are a licensed occupational therapist in Japan, you have to be a member of JAOT
  • If you are a student (entry-level, Master and PhD students) who do not have an OT license, please register as a “student”
  • Our organizing staff and press may take photos and videos during the congress. These may be published and archived in JAOT publications, including the JAOT journal, on the website, and on video streaming services, approved by APOTC 2024. Please note that this is highly likely, especially for lecturers, presenters, and awardees.

If you want to participate in The 58th Japanese Occupational Therapy Congress & EXPO in Hokkaido 2024 (58th JOTC in Hokkaido)

The 58th Japanese Occupational Therapy Congress & EXPO in Hokkaido 2024 will be held at the same venue on November 9th (Sat.) and 10th (Sun.)

  • Full-day congress participants (6-9th Nov) are able to participate in Japanese Occupational Therapy Congress & Expo (58th JOTC in Hokkaido) with no additional fee. However, if you wish to make a presentation at 58th JOTC, you need to pay the registration fee for 58th JOTC.
  • If you pay only 58th JOTC registration fee, you are not eligible to participate in APOTC 2024. One-day ticket is available for APOTC 2024.
  • No live or on-demand stream is available in APOTC 2024. 58th JOTC in Hokkaido is held in hybrid style.
  • Keynote address II: Samantha Shann (WFOT president) is open to public. The participants of 58th JOTC in Hokkaido can attend it for free of charge.

Events registration

  • Welcome party (free of charge, but registration is required): Please register via registration online portal. For details, please also refer to the Scientific Program (Events).
  • Gala Dinner: Please register via registration online portal. For details, please also refer to the Scientific Program (Events).

Accompanying Person Registration

  • Accompanying persons can register for free, with the exception of occupational therapists.
  • Access to the exhibition and poster room (Main Hall) is allowed.
  • Accompanying persons have the option to participate in the Japanese Culture Experience (Tea Ceremony) on November 7 by submitting an advance application. There is an admission fee for this event. More information can be found on the Events page.
  • Those interested in attending the Gala Dinner on November 8 need to apply through the Congress registrants.
  • Accompanying persons are unable to attend the Welcome Party on November 6 due to venue capacity limitations.
  • Lunch is not provided. Food and drinks can be enjoyed from the kitchen cars at the venue during the Congress.

Invitation Letter & VISA Information

We offer you two types of documents as our official letters of invitation. Please make sure to check the documents you need with your affiliation or the embassy of Japan in your country of residence before applying, as documents you might need depending on circumstances.

1. Letter of Invitation in the format of 8th APOTC 2024

  • A letter of invitation certifies that you have registered to attend APOTC 2024 as a participant. The letter will not guarantee to support your travel expenses nor the costs of attending the congress. Please refer to JNTO website and MOFA website for more details.
  • A Letter of Invitation will be provided after completing your registration and payment. Participants can download a Letter of Invitation from “My Page” on “Registration Online Portal”.

2. VISA Information for the Japanese Ministry of Foreign Affairs format

Visa Support Application

Citizens of certain countries are required to obtain a visa to enter Japan. If necessary, we will provide the documents for Visa application that should be prepared by the inviting person in Japan and send them to you.

How to apply

  • Documents provided: Letter of Invitation in the format of the Japanese Ministry of Foreign Affairs, MOFA
  • After completing your registration and payment, you can click on information button on our Registration Online Portal. For more details and applying for the support, please access to our “Registration Online Portal” and refer to information button which will be shown on the left column after you complete the registration and payment.
  • Handling fee: JPY 20,000
  • The Letter of Invitation will be provided to participant and accompanying persons (your partner and children only are acceptable)
  • Duration of your stay: Up to 15 days, including the congress days

We will send the document you require from the late of August onward.

Important Notice

Please note that we cannot guarantee if you will be able to obtain a visa.
It might be denied for any reason at your local embassy even if you bring the documents regulated by the Japanese Ministry of Foreign Affairs. In that case, we will NOT be able to refund the support fee.
Also, the organizer may refuse to provide you with the documents for any reason.
In that case, the application for the documents might be cancelled and we will refund the support fee even after your procedure all done on this webpage.
